Getting Started

How do I add my first worker?

Go to Workers → Add Worker. Fill in the worker's name, nationality, and contact info. You can also upload documents like work permits or A1 certificates from the worker profile page.

How do I invite a manager to my account?

Go to Settings → Team Members → Invite. Enter their email and select their role (Manager or Viewer). They'll receive an invitation email to set up their account.

Can I import workers from a spreadsheet?

Yes — on Growth and Scale plans, you can import workers via CSV. Go to Workers → Import and download the template. Contact support for help mapping your existing spreadsheet.

Check-in & Attendance

How does QR code check-in work?

Each site has a unique QR code accessible from the site detail page. Print it or display it on a tablet at the site entrance. Workers scan it with their phone camera — no app needed.

Can workers check in on their own phone?

Yes. Workers can log into the worker portal at yeydigital.eu/worker using their phone number and a PIN set by the admin. From there they can check in and out of their assigned sites.

How do I export an attendance report?

Go to Reports → Attendance. Select the date range and site (or all sites), then click Export CSV. The file includes worker name, site, check-in time, check-out time, and total hours.

Documents & Compliance

How do document expiry alerts work?

automatically alerts you when a document is expiring. You'll receive an email notification 30 days before expiry, then again at 7 days, and on the expiry date. You can adjust thresholds in Settings.

What document types does Yey support?

Any document type can be uploaded. Common types include: work permits, A1/E101 certificates, ID/passport copies, medical certificates, training certificates, and subcontractor declarations.

Can workers upload their own documents?

Not currently. Document uploads are managed by admins and managers. This is a planned feature on our roadmap for Q3 2025.

Billing & Account

How do I upgrade my plan?

Go to Settings → Billing → Upgrade Plan. You can switch between plans at any time. Upgrades take effect immediately; downgrades apply at the end of your billing cycle.

What happens when my free trial ends?

After 14 days, your account is locked in read-only mode. Your data is preserved for 30 days. Add a payment method in Settings → Billing to reactivate at any time.

Can I export all my data before cancelling?

Yes. Go to Settings → Data Export to download a full export of your workers, documents, attendance records, and site data in JSON format. After cancellation, data is available for export for 30 days.
